Archive, close, reopen and trash

File away finished conversations, bring them back, and move ones you do not need to trash.

Updated 2 min read

When a conversation is done, you can close it with a status, archive it, or move it to trash. Every one of these can be undone.

Closed, archived or in trash

Where it is

How it gets there

What it means

Closed

Give it a finished status, like Resolved

Done, and still in the inbox's Closed tab

Archived

Select Archive

Filed away, out of everyone's lists, never lost

Trash

Select Move to trash

Not needed. It waits in Trash in case you want it back.

Close a conversation

Change its status to a finished one, such as Resolved or Closed. It leaves the Active tab and shows under Closed. See Statuses.

Archive

Open the conversation and select Archive, or press E.

An archived conversation moves to the inbox's Archived tab. If its status was still active, archiving also gives it a finished status, usually Resolved.

To archive as you reply, use Send and archive from the menu beside Send. See Reply, reply all and forward.

Move to trash

Open the conversation and select Move to trash, or press #. It moves to Trash in the sidebar.

Undo straight away

After you archive, snooze or trash a conversation, a message appears at the bottom of the screen with Undo. Select it to put the conversation back as it was.

Bring a conversation back

Open it from its tab or folder, then:

It is

Select

It goes

Archived

Reopen

Back to the inbox. A finished status goes back to the default.

In trash

Restore

Back to the inbox, with its status as it was

Closed

A new status, such as Open

Back to the Active tab

When the customer replies

  • An archived conversation comes back to the inbox on its own, and a finished status goes back to the default.

  • A closed conversation goes back to the default status.

  • A conversation in Trash stays in Trash.

Automatic replies, like out-of-office messages, and mail that looks like spam do not bring a conversation back.
